When Venues Require Event Insurance
Why banquet halls, hotels, parks, and private estates require special event liability insurance - and what to do when your contract asks for a COI.
Situations where insurance is almost always required
- Hotel ballrooms and resort wedding lawns
- Banquet halls and event centers
- Museums, historic homes, and estates
- Wineries, barns, and private ranches
- City parks, pavilions, and public plazas
- Restaurants with private-event contracts
- Fairgrounds and amphitheaters
If a written rental agreement exists, flip to the insurance section early - not the week of the event.
Situations where it is sometimes required
- Private homes rented through event platforms
- Clubhouses and HOA community rooms
- Rooftop and coworking event spaces
- Places of worship hosting outside receptions
Even when a venue is informal, a landlord or management company may still insist on a COI.
Why “my homeowners policy” often is not enough
Homeowners or renters insurance may include limited liability, but:
- Venues frequently require a dedicated event policy
- They want to be listed as additional insured
- Off-premises events may be limited or excluded
- Alcohol-related claims can be restricted
Expect to purchase event coverage when the contract says so. Details: Venue requirements & COI.
Timeline: when to buy
| Timing | Action |
|---|---|
| At booking | Read insurance requirements |
| 30 - 60+ days out | Quote once details are firm |
| Per contract deadline | Deliver COI (often 7 - 30 days before) |
| After changes | Update guest count, location, or alcohol answers if needed |
Rush certificates are sometimes possible, but do not rely on last-minute processing for city permits.
